Backup and disaster recovery

Backup and disaster recovery for businesses of 5 to 200 people

If ransomware locks your files, a laptop goes missing or a server fails, the only question that matters is how quickly you’re working again. We back up your Microsoft 365, laptops and servers automatically, keep a copy nobody can tamper with, and get your team back to work when something goes wrong.

Backup and disaster recovery in brief

Quick answer: Tech Optimised backs up the Microsoft 365 email and files, laptops and servers your business runs on, and plans how you’d recover if they failed. Backups run automatically, a copy is kept outside your own systems, in UK data centres, where ransomware can’t reach it, and you can restore a single file or a whole server to any point in time.

Best for: Businesses of 5 to 200 people that keep everything in Microsoft 365, have a server or two in the office, or have had a near miss and realised nobody had checked the backups for months.

Daily

Automatic backups

Your Microsoft 365 email and files are backed up every day, without anyone having to remember.

Any point

Point-in-time restore

Bring back one file, a mailbox or a whole server as it was before the problem started.

1 to 2 hours

Response time

If something has been lost or locked, you hear back from someone who already knows your setup.

What’s the difference between backup and disaster recovery?

A backup is a copy of your data. Disaster recovery is the plan for getting your business running again when something goes badly wrong, and it decides how much work you can afford to lose and how long you can afford to wait.

A backup you’ve never restored from is an assumption, and the UK National Cyber Security Centre’s guidance on backing up your data makes the point that a backup is only useful if you know how to restore it and have checked it holds everything you need. We agree with you which systems matter most and how quickly each needs to be back, then test restores so the answer is known before you need it.

What we back up

Your data lives in more places than it used to, so we cover each of them and keep the copies outside your own systems. If your email goes down, your team keeps sending and receiving, with the last 30 days of email still to hand.

Email, OneDrive, SharePoint and Teams backed up automatically every day, kept for as long as you need and restorable to any point in time. Google Workspace, Dropbox, Box and Salesforce can be covered the same way.

Laptops and desktops

Files on every laptop backed up automatically, wherever your team works. If a laptop is lost or stolen, we can locate it, wipe it remotely and put the files onto a replacement.

Servers

Servers and the systems on them backed up automatically. For servers you can’t do without, a standby copy is kept up to date so you can switch over quickly if one fails, and we can move servers to new hardware or the cloud with little or no downtime.

What happens when something goes wrong?

Recovery is faster when everyone already knows the steps, so we agree them with you before anything goes wrong.

1. You tell us: use the contact form, or reply to any email from our team, and someone who knows your setup comes back within 1 to 2 hours.

2. We contain it: if ransomware or a compromised login is involved, we isolate the affected machines and logins first so the problem stops spreading.

3. We restore: we bring back what was lost from the most recent clean backup, starting with the systems you told us matter most.

4. We check and explain: we confirm everything is working, tell you what happened and fix whatever let it happen.

Protection that stops attacks reaching your devices and inbox is covered on our cyber security page.

Doesn’t Microsoft 365 already back up my data?

Only for a short time. When someone permanently deletes an email, Exchange Online keeps it for 14 days by default, and 30 at most. Deleted files in SharePoint and OneDrive stay in the recycle bin for 93 days. For 14 days after that, Microsoft can restore a whole site but not a single file.

That’s fine for a file someone deleted yesterday. It doesn’t help when a leaver’s mailbox is needed six months later, or when ransomware encrypts files that then sync across every device. An independent backup keeps a separate copy for as long as you choose, so you can go back to any day before the problem started.

If you’re moving to Microsoft 365, our Microsoft 365 page explains how we handle the move and set it up properly.

How much does backup and disaster recovery cost?

Setting up your backups is priced as a project. We look at what you have, agree what needs protecting and how quickly each part needs to be back, and give you a price before any work starts. The backups then run on a monthly licence, month to month with no contract, so you know the ongoing cost from the start.

Backup is a service in its own right, so you can take it on its own or alongside our IT support and cyber security.

Who looks after it?

Your backups are overseen by Peter Bright, one of Tech Optimised’s founders, and checked by the same small team that answers when you need a restore.

FAQs

Questions about backup and disaster recovery

  • Microsoft 365 email and files are backed up every day, and laptops and servers are backed up automatically on a schedule we agree with you. Servers you can’t do without can also be copied continuously to a standby, so you can switch over quickly if one fails.

  • The backup copy is kept outside your own systems, in UK data centres, and can’t be changed or deleted from your network, so ransomware on your laptops or servers can’t encrypt it. If the worst happens, there’s always a clean copy to restore from.

  • Yes. You can go back to one file, one mailbox or a whole server, as it was at any point before the problem started.

  • Microsoft keeps deleted emails for 14 days by default and deleted files for 93 days, then they’re gone. An independent backup keeps a copy for as long as you choose and lets you restore anything from any day.

  • No. We work remotely, and restores, failover and migrations are all handled remotely, so nobody waits for an engineer to travel.

  • Setting up your backups is priced as a project, and the backups then run on a monthly licence, month to month with no contract. We give you the price before any work starts.
